Job Description
We are looking for an **Operations & Admin Executive **who can execute with precision today while building the systems for tomorrow.
This is not a support role; it is a strategic enabler. Your efficiency directly impacts our speed to market and customer experience.
Key Responsibilities
1. Commercial Operations (40%)
Finance Admin: Own the Xero workflow (Invoicing, POs, DOs). Zero errors, 100% timeliness. Your data accuracy drives our financial strategy.
Sales Velocity: Remove administrative friction for the Partnerships team. Rapidly generate quotes and vendor docs to help close deals faster.
2. Logistics & Event Execution (30%)
Regulatory Assurance: Assist with applications and forms ahead of schedule.
Inventory Management: Manage stock across multiple markets. Analyze burn rates to predict constraints and trigger re-orders based on lead times.
Event Logistics: Manage end-to-end logistics for events and fairs. Ensure physical goods arrive on time, every time, optimizing for cost and speed.
3. People & Infrastructure (30%)
Payroll & HR Compliance: Execute monthly payroll and EPF submissions with absolute timeliness and accuracy. Manage leave administration and expense claims to ensure a frictionless employee experience.
Talent Onboarding: Execute frictionless onboarding for new hires. Ensure they have tools and access from Day 1 to minimize ramp-up time.

Strategic Doer: You understand the "why" behind the task. You don't just process an invoice; you understand it represents cash flow health.
Tech-Native: You reject manual repetition. You leverage AI and automation tools to speed up workflows.
High Agency: You don't wait for instructions when a problem arises. You fix it, then report it.
Ruthlessly Organized: Chaos offends you. You bring order to ambiguity and anticipate bottlenecks before they happen.
The Tech Stack
You will operate in a cloud-native environment. Mastery (or rapid adoption) of these tools is essential:
Financial & Admin: Xero, Quickbooks, Google Workspace (Advanced Sheets proficiency preferred).
Logistics & Commerce: WooCommerce (Backend order view), 3PL Portals (Lalamove, NinjaVan, Grab).
AI & Productivity: ChatGPT/Gemini (for drafting & ideation), Asana, Miro.
Experience & Requirements
Experience: 2+ years in Operations, Sales Support, or Admin.
Tech Stack: Proficiency in Xero/Quickbooks and Google Workspace is non-negotiable.
Language: Professional command of English for stakeholder management.
Success Metrics (First 6 Months)
Operational Zero-Defect: 100% accuracy on financial docs and payroll; 0 compliance lapses.
Process Optimization: Automate or improve one core workflow (e.g., Claims, Inventory tracking) to reduce manual hours by 20%.
